Uploading Files via Email
You can send files, which you encounter during your daily work, simply as e-mail attachments to the Drooms data room ‘Inbox’ folder, without having to start Drooms each time. When you visit your data room the next time, you can move the files from the Inbox to the index where they belong.
By default only administrators can send files to the inbox. Other users can use the inbox only if they have been granted either the ‘Edit’, ‘Create with approval’, or ‘Create only’ permission for it.
- The e-mail address for the inbox can be found in the index ‘Inbox’ folder description, and with a single click can be copied to your clipboard. It is unique for every data room.
- To send files via e-mail to your data room, simply create an e-mail, add the intended files to it as attachments, and send the e-mail to the corresponding data room e-mail address.
All files uploaded via e-mail to the inbox are being billed according to the contractual conditions agreed upon for the project.
Following file formats will be converted for online display within the data room:
.htm, .html, .png, .jpg, .jpeg, .tif, .tiff, .gif, .doc, .dot, .docx, .dotx, .docm, .dotm, .msg, .xls*, .xlsx*, .xlsm, .xlsb, .ppt, .pptx, .pptm, .pot, .potx, .potm, .pps, .ppsx, .ppsm, .odt, .ott, .odc, .ods, .ots, .odg, .otg, .odp, .otp, .pdf, .rtf, .txt**
Portfolio PDF files, standard office files with active features like macros, signatures, etc., as well as files with any other format cannot be converted for online display, such as files with 3D content like CAD files, or music files and videos, or compressed files like .zip.
* Excel files without set printing areas and proper formatting, which would be converted into more than 100 pages, will also not be converted, as they will in most cases not be split up reasonably for review, but spike the page count and cause customers to ask for refunds. These files require download permissions to be actually reviewed.
** txt files with more than 400 pages will not be converted, as they are too large to be reviewed on the platform, but spike the page count and cause customers to ask for refunds. These files require download permissions to be actually reviewed.
- For working with the files that have been uploaded to the Inbox, please note that the files can be moved to their desired location in the index by drag and drop or via the respective index context menu options.
However, please note that the inbox and its content are not affected by or support the following features:
– Index allocation and auto allocation – not applicable;
