Viewing Group and User Status
To manage the groups and users in a data room it is useful to easily look up, which groups and users have access, or are blocked, and which users have already been invited, have signed in to the data room, are offline, or are currently online.
To view the status of a group or user, proceed as follows:
- After signing in to Drooms, select the project and data room where you want to create groups and users.
- Select ‘Users’ in the project’s and data room’s tab bar to access the users section. A list with user groups will be displayed. You can expand the groups to view the group members.
- A purple or red circle with a counter is displayed for every group, showing the number of users belonging to each group:
- Purple = Unblocked: Group access is granted (still individual users may be blocked, though).
- Red = Blocked: Group members have no access to the data room, whether their individual access is blocked, or not.
- A coloured circle is displayed for every user, indicating the status within the data room:
- Yellow outline, white filling = Pending: User has been added to a group, but has not been invited, yet. These users will always be displayed with their e-mail address instead of their name, as they have not logged in and confirmed their user data, yet.
- Yellow = Invited: User has been invited but has not accessed the data room, yet.
- Grey = Offline: User has accessed the data room already but is offline right now.
- Red = Blocked: User has been blocked and has no access to this data room.
- Green = Online: User is currently logged in to the data room.
Users are displayed with their e-mail address until they have optionally entered their first name and last name, and have logged in to the data room.
You can find more detailed information about a group or user with a double left-click onto the group or user, which opens the corresponding ‘Group Details’ or ‘User Details’ overview, allowing you also to edit several different group or user parameters and settings.
