Using the Tabular Review

Drooms Intelligence is the umbrella term for the AI features and tools, which Drooms provides for analysing documents, part of which is the Tabular Review. It extracts numerous typically relevant information for similar documents within a data room according to predefined data templates and presents them in clearly structured tabular overviews.
 
As of now, two data templates – further ones may follow in the future – are available for analysing and extracting data from:

  • Energy performance certificates
  • Lease agreements


To create a first data analysis and extraction, proceed as follows:

  • Start Drooms and sign in, then select the Tabular Review in the vertical main navigation menu on the left to open the Tabular Review page.
  • Initially and when empty, i.e., no previous analyses are present, this page will look as follows:

  • To get started choose one of the two templates provided on the empty Tabular Review page by clicking on the respective ‘Start analysis’ button. A pop-up window ‘Select data room’ will open showing all projects you have access to.
  • Select the project with the data room, which contains either the energy performance certificates, or the lease agreements, which should be analysed, and click on ‘Next’. A pop-up window ‘Select the reference document/folder’ will open showing the selected data room’s content you have access to.
  • Browse through the data room and its folders to select the documents, which should be analysed. You can choose between tree view and list view mode for selecting documents. Click on ‘Done’, when you have selected the documents of interest. Please note that you can add further documents any time later to any of the analyses you will create.
  • Your first analysis will be created and shown on the Tabular Review page. It will show the analysis’ default name and number, the chosen template, number of data columns, the data room, its creation date, and its status, followed by the table with the documents and the respectively extracted data.

  • If a document does not contain a certain information, the table will not show any value in the respective cell.
  • Use the gear wheel icon at the top right of the table to open the drop-down menu for showing and hiding certain data columns to customise the table’s online display.
  • Documents, which were wrongly included in the analysis, or should be excluded again for other reasons, can be deleted from the table by clicking on the (…) icon in the document’s row and selecting the option ‘Delete’.
  • Click on ‘Add document’ on the left beneath the table to add another document to the analysis. Again, the pop-up window ‘Select the reference document/folder’ will open for selecting further documents for including them in the analysis and dynamically updating the table.
  • Click on the button ‘Export’ above the table to export the analysis and table with data to Excel.
  • Click on the button ‘New analysis’ at the top right to open the drop-down menu for selecting the desired data template and creating a new analysis following the steps already described above.


To review, edit, export, or share already existing data analyses and extractions, and create new ones, proceed as follows:

  • Start Drooms and sign in, then select the Tabular Review in the vertical main navigation menu on the left to open the Tabular Review page.
  • If you have already created some analyses, and/or some have been shared with you, the Tabular Review page will show them either as tiles in grid view, or as list entries in list view (use the display mode toggle buttons above the table to select your preferred display mode), and in grid view look as follows:

  • Using the three tabs on the top left, you can switch between all analyses (tab ‘All Analyses’), only your own (tab ‘My analyses’), or only those that have been created by other colleagues and have been shared by them with you (tab ‘Shared with me’).
  • For each analysis the respective tile or table listing will show its name, the chosen template, its number of data columns, the data room, the creation date, and its status.
  • To rename an analysis, click on the (…) icon of an analysis’ tile or a table listing opening a pop-up menu and select option ‘Rename’. The pop-up window ‘Rename analysis’ will open and allow you to edit its name.
  • To delete an analysis, click on the (…) icon of an analysis’ tile or a table listing opening a pop-up menu and select option ‘Delete’. A confirmation dialog will ask you to confirm the deletion.
  • Another feature is that you can share analyses, which you created, with your fellow user group members. In tile view, each tile will display in its bottom right corner either an option ‘Only me’, or ‘Group’. In list view similar options are provided for each analysis in table column ‘Visibility’. Click on the displayed option to open a pop-up menu allowing you to switch to the other of these two options. An analysis, which you share with your fellow group members, will be visible on their Tabular Review page.
  • Click on the respective tile or list entry to select a specific analysis for review, to rename it, to remove documents from it, to add further documents to it, to export it, or to delete it, as already described further up above.
  • Click on the button ‘New analysis’ at the top right to open the drop-down menu for selecting the desired data template and creating a new analysis following the steps already described above.
