Uh-oh! Last year, Santa lost track of the childrens’ wishlists and addresses! But don’t worry, this year Santa’s going digital.
Join us each day in December to see how Santa sets up his data room and discover the magic of Drooms.

With thousands of children’s wishlists and toy blueprints, Santa needs a better way to keep it all organised.
The simple structure and straightforward indexing of a Drooms data room helps Santa and his elves find every file in a jingle!

Santa’s data room is not very festive.
But no problem, Santa can easily personalise his data room with festive holiday branding. Now every elf in his team feels the Christmas spirit, even in the digital world!

Santa’s big team of toy designers, list managers, and reindeer trainers all need different levels of access to the data room.
To make sure everyone can do their job, but only the right team members can access certain sensitive information, Santa assigns roles to each elf.

The holiday deadlines are approaching fast, with children constantly adding more toys to their wishlists.
Santa sets up notifications to keep everyone in the loop. This allows his team of elves to stay on top of the holiday rush, without missing any important updates.

The complexity of keeping track of everyone’s notes and updates was overwhelming Santa.
He enabled ‘Group Visibility’, so the elves can now see each other’s work, stay aligned, and keep things running smoothly as the big day gets closer!
With hundreds of scanned wishlists and delivery addresses that need to be uploaded to Santa’s data room, the elves need a quick and simple solution.
To make things easier, Santa introduces the ‘Drooms Inbox’, allowing the elves to send documents directly to the data room via a special email address. Uploading large volumes of information has never been so easy and quick!

Santa is worried that manually naming and allocating documents will take his elves too much time and lead to mistakes.
Santa activates the auto-naming and auto-allocation features to save his busy elves time and to eliminate errors. Now, every file automatically gets the right name and is placed in the correct folder.

Uh-oh! The Grinch tried to get his hands on the children’s wishlists.
Santa takes data protection and being compliant with the GDPR very seriously. His data room has SSO and he has enabled two-factor authentication to secure the data room tighter than the North Pole vault, so no information can slip through the cracks.
The children always make a lot of changes to their wishlists. Managing all of this data manually takes a lot of time and effort.
Santa shows the elves how powerful OCR search can be. OCR makes all scanned documents searchable, so the elves can easily find any child’s letter and make a change or add a note instantly, saving precious time as their holiday deadline draws closer.
Now, Santa can review Excel schedules and delivery lists all within the data room, keeping everything in one place – making it easier to oversee all of the Christmas preparations.
With a big project like Christmas, Santa’s elves have a lot of questions that need clarifying.
Santa enables the Q&A feature so the elves can ask questions directly within the data room. Whether it’s about the latest toy design or a delivery route, the answers are just a click away.

Different elves often ask the same questions about toy production and delivery times
Rather than answering the same questions repeatedly, Santa introduces a ‘Sharing FAQs’ tool. Now, answers to common questions can be shared with all the elves, saving everyone time and effort.

Keeping track of special requests and urgent deliveries can be demanding.
The elves start adding notes and bookmarks to specific wishlists. This helps them keep track of everything, ensuring no child’s wish is missed.
Christmas is celebrated all over the world, so the children’s wishlists come in many different languages.
The elves use the integrated translation feature to understand all requests, all without having to leave the data room.

Documents like wishlists may contain sensitive personal information like the children’s age and addresses.
Santa will redact all of the children’s personal information when he shares their wishlists with the elves. After all, keeping the children’s information confidential is Santa’s top priority.
With a big project like Christmas, the elves must be prepared for any potential data issues.
The elves start using the ‘Findings Manager’ to identify these problems. Now, they can sort out incomplete requests or toy delivery conflicts in advance.
As Christmas Eve approaches, there are hundreds of toy delivery lists for the elves to download.
The elves use the bulk download feature to gather all the lists with one click – now they’re ready to load up the sleigh!

Santa wants to protect the blueprints of his precious toy designs from prying eyes.
To safeguard these important documents, Santa applies watermarks. If anyone tries to share confidential files, the source will be unmistakably clear.

Fast and convenient chatting and easy document sharing would make the elves’ lives a lot easier.
Santa introduces the elves to Drooms Chat, a messenger within the Drooms platform. Now, they can collaborate in real-time without having to switch to other apps to discuss their tasks.
Santa knows the struggle! That’s why he signed up for the AI Assistant beta test. He’s eager to see how it can help him and his elves find what they need instantly, explain tricky technical toy blueprints, and save them valuable time and effort. Luckily, the beta test is open for all to try!
Santa and his elves are often out and about, preparing the present deliveries.
Luckily, Santa and his team can access the data room from their mobile devices too. Whether they’re at the workshop or checking on the reindeer, the data room is always within reach.
Santa wants to keep track of his elves’ progress, to make sure the Christmas preparations are going smoothly.
Through real-time reporting, Santa can see which documents are still pending and which ones have been finalised, ensuring his team stays on schedule.

Santa is always one step ahead, already planning Christmas 2025.
Santa wants to work with the same structure next year. He uses the ‘Copy to Data Room’ tool to effortlessly transfer this year’s index and documents to a new data room for 2025. With everything instantly organised, he’s ready to start next year’s preparations in no time!
